Submit the Inquire for Your Client form through the Travel Advisor Portal. Share what you know about your client’s travel plans, preferences, dates, and interests, and our team will work with you to design the right Africa journey.

You’ll also have the opportunity to schedule a 30-minute planning call with our team so we can understand your client’s vision and get the journey right from the start.

Once your client is ready, use the Reserve Your Client form and have your itinerary number ready. Add all travelers, including the ages of any children traveling, and confirm the room arrangements already discussed with our team. The system will create the appropriate traveler records for everyone in the booking, ensuring the reservation aligns with the agreed itinerary.

After submission, you’ll receive the Travel Agreement for electronic signature, followed by an invoice for the required deposit based on your selected payment method. We support card payments through Stripe (transaction fees apply) and bank transfer, with the applicable payment process provided for California residents.

For custom journeys, we work with you to develop the complete itinerary and provide our best net rate, giving you the flexibility to establish the final client-facing price.

For scheduled group journeys, client pricing is already established. For Queen Safaris partners, we discuss and agree on how you earn from each booking directly with you.

Once the required deposit is received, we begin securing the services included in your client’s journey and confirm the reservation. Depending on the service model selected, your client will also receive access to the Vamoos travel app, giving them one convenient place to access their itinerary, travel information, updates, and important journey details.

Through the app, travelers can stay connected with our team, ask questions, receive updates, and securely provide required travel documents, giving them greater visibility before and throughout their journey.

For experiences requiring advance documentation—such as gorilla trekking permits—we will request the necessary identification so our team can secure the required permits and arrangements. You and your client will also receive upcoming payment milestones and important information as the journey approaches.

That depends on how you prefer us to work with you and your client. You may choose to remain the primary point of contact throughout the planning process, or authorize our team to communicate directly with your client for travel preparation, documentation, itinerary updates, and other journey details.

Once your client is traveling, our on-the-ground team will be available to communicate with them directly as needed to ensure a seamless experience.

Absolutely. You choose the level of involvement that works best for your business and client relationship. If you authorize us to communicate directly with your client, we will keep you copied or otherwise informed on relevant communications. If you prefer communications to flow through you, we will work accordingly.
